Using A Transcription Company

Our customer care assists callers from varied professions that are in need of transcription services, we receive calls from businesses that need the voice to text services for publicity or just plain documentations. We have been offering our services to a publishing company based in Illinois that specializes in education research and they require the transcripts for editing.

There are some companies based in New York th/at need transcription services for internal administration, these companies need our services on a regular basis. The transcripts solicited by them may be for circulars or staff meetings that are recorded and documented for record-keeping.

We have a large client base consisting of University Students that need transcription services for dissertations and academic research. There are multimedia companies based in California, which require transcripts of television programs. The end use of the transcripts is for adding captions to the television programs.

Many captioning companies need transcripts in customized formats, for it to be compatible with the captioning software that is used for adding captions to the television programs. We recently completed an assignment sent by an author who was writing a book, he would dictate into a digital recorder and upload the audio recording on to our websites FTP server.

We have competed more than 10 years as transcription service providers and we are proud to say that that the level of customer satisfaction that we have been able to achieve is 99.9%. “We are a captioning company that use different Computer Prompting and Captioning software, we require different kinds of transcripts”  

These are requirements from different captioning companies, each wanting to know if we process transcripts, which are compatible with different Computer Prompting and Captioning software. Let it be known that we strictly follow transcription guidelines sent by the clients. The transcripts that are meant for adding captions or sub-titles may have different number of characters per line or the number of lines required per caption may be different.

The time stamping specifications may also differ from client to client, the start & end time in some transcripts would be every 32 characters and other clients would want the time stamp after every 72 characters. We constantly endeavor to follow guidelines sent by clients, and no transcripts are difficult for us to process, after all we are in the business for more than 10 years. 

“The audio recording has “foul language”, include them in the transcript” said a caller from Los Angeles 

As a standard practice, we delete expletives in the transcripts marking the parts in the transcript with [expletives deleted]. But a client from Los Angeles insisted that we include the “foul language” in the transcript, the client explained that the audio recording he was sending us was of a ‘soap opera’, and the transcripts will be used for embedding captions into the television program.  

When clients send us recordings of one-to-one interviews or heated panel discussions, we observe the standard guidelines of deleting the expletives unless the client does not want them to be deleted.

One of our client had a query about when does the turn-around-time start, an important question which is relevant to the other first-time customers that wish to solicit audio transcription services.  

“Does the company start the transcription process, after receiving an upfront payment from the client or as soon as the audio is uploaded?” 

The transcription process starts as soon as an upfront payment is made by the client and the turn-around-time starts after we receive the payment, however this applies to the first-time customers. But for our regular clients the transcription process starts soon after the audio is uploaded.
